TERMS & CONDITIONS
ACADEMIC YEAR 2013/14
GENERAL INFORMATION
1. Each on-line application will be "approved". This is not a confirmed booking, rather it is an acknowledgement that an application has been submitted successfully.
2. If we have availability, we will follow this up with another email which will state that a room has been reserved for 24 hours, to allow payment of a €250 booking deposit.
3. If the deposit is not received within this time span, the provisional reservation will be cancelled.
4. If all places are filled in the interim, Campus Accommodation (UCC) Ltd. is not obliged to provide accommodation.
5. Applications are processed on a strictly "first come, first served" basis.
6. Please note that this is an application for accommodation and not a contractual agreement. Campus Accommodation (UCC) Ltd. acting through its management reserves the right to decline an application.
7. Any student who takes up residence and for whatever reason subsequently vacates their room, will not be refunded their deposit or rent. The balance of the rent will be refunded as soon as the room is re-let to another student. In the event that the room is not re-let then the rent is not refunded. All contracts that are broken will be subject to the deposit of €250 being held.
8. All choices here are preferences, they are not guarantees. We will endeavour to provide you with your preference however this may not always be possible, i.e. we do not guarantee who your apartment mates will be, we do not guarantee an en-suite nor do we guarantee a specific apartment.
9. Completion of this form does not guarantee a place in a specific complex; we will however make every attempt to accommodate you within one of the Campus Accommodation complexes. If Campus Accommodation is fully booked we will endeavour to place you in a complex of equal quality.
10. Any student who is in "twin room" accommodation must accept that Management reserves the right to refill any vacant beds as they see fit.
11. Management reserve the right to ask all tenants to move to alternative accommodation if there is an ongoing dispute between tenants.
12. Please note that if a student is over 18 the contract is between the student and Campus Accommodation and not between the parent or guardian and Campus Accommodation. In relation to any issues arising the student must make contact with Campus Accommodation rather than asking their parent or guardian to do so.
13. If a student is under 18 then the contract must be signed by a parent or guardian. If there are any issues arising then Campus Accommodation will involve the parent/guardian in all discussions.
14. Keys/key cards will not be issued to any student who has not completed the on-line induction prior to arrival.
15. Payments where possible are processed online. Booking deposits are taken via Laser or credit card. Rent payments are taken online by Credit Card only, due to limits placed on Debit Cards by banks. This is outside our control. Alternatively rent can be paid by cheque/draft or wire transfer. Payment is not credited unless cleared by the bank. In the case of a wire transfer the student name must be included in the narrative. If not, and the bank must investigate, bank charges of €7.50 will apply.
16. Management reserve the right to charge outstanding amounts against the deposit. Items include underpayment of rent, cleaning charges, damages, unpaid fines, underpayment of electricity etc.
(A) INCOMING FIRST YEARS 13/14
1. Applications for Incoming First Years 13/14 are accepted for the entire occupancy period Monday 2nd September 2013 to Sunday 1st June 2014 only. Any student who takes up residence and for whatever reason subsequently vacates their room will not be refunded their deposit or rent. The balance of their rent will be refunded as soon as the room is re-let to another student. In the event that the room is not re-let then the rent is not refunded.
2. Any student who confirms a room and is subsequently offered a 2nd round/3rd round offer in another University will not be refunded their deposit.
3. Cancellation/Confirmation for bookings made by Incoming First Years 13/14 must be made via email to arrive before 12 midnight Monday 26th August 2013. The email must be sent to the student’s first choice of complex as per their application form. Cancellation before or on this date will result in Campus Accommodation retaining €50 as an administration fee. Cancelling after this date results in the total loss of the booking deposit.
4. The outstanding rent, utilities and electricity charge must be paid by Wednesday 28th August 2013. The final legal contract must be signed in person at Reception at check-in.
5. If paying in three instalments the payment dates are Wednesday 28th August 2013 for instalment one, Friday 15th November 2013 for instalment two and Friday 14th February 2014 for instalment three. If monies have not been received UCC Campus Accommodation reserves the right to invalidate the application.
(B) FULL YEAR INTERNATIONAL, POSTGRADUATE (CASTLEWHITE, VICTORIA LODGE & UNIVERSITY HALL) AND NON FIRST YEAR UNDERGRADUATES
Applications are accepted for the following periods:
Monday 2nd September 2013 to Sunday 1st June 2014. (Full Year International, Postgraduate, Non First Year Undergraduates)
Monday 12th August 2013-Sunday 1st June 2014 (Full Year US Early Start)
Monday 2nd September 2013-Sunday 1st June 2014 (Erasmus Full Year)
17. Cancellation or Confirmation of the booking must be made via email (to the students first choice of complex) to arrive by 12 midnight Friday 26th July 2013. Cancellation before or on this date will result in Campus Accommodation retaining €50 as an administration fee. Cancelling after this date results in the total loss of the booking fee.
18. The outstanding rent, utilities and electricity charge must be paid by Monday 5th August 2013. The final legal contract must be signed in person at Reception upon check-in.
19. The Payment Schedule is in one or three instalments. If paying in three instalments payment dates are Monday 5th August 2013 for instalment one, Friday 15th November 2013 for instalment two and Friday 14th February 2014 for instalment three.
20. If monies have not been received, Campus Accommodation UCC Ltd reserves the right to invalidate the application.
(C) U.S. EARLY STARTS & ERASMUS (1 SEMESTER ONLY: AUTUMN, SPRING)
US Early Starts (1 Semester only), Spring Semester only & Erasmus applications are accepted for the period:
Monday 12th August 2013-Monday 30th December 2013 (Fall US Early Start)
Monday 2nd September 2013-Monday 30th December 2013 (Erasmus & US Fall term only)
Thursday 2nd January 2014-Sunday 1st June 2014 (Spring US & Erasmus Spring term only)
21. Cancellation or Confirmation of the booking must be made via email (to the students first choice of complex) to arrive by 12 midnight Friday 26th July 2013. Cancellation before or on this date will result in Campus Accommodation retaining €50 as an administration fee. Cancelling after this date results in the total loss of the booking fee.
22. The outstanding rent and utilities charge must be paid by Monday 5th August 2013. The final legal contract must be signed in person at Reception upon check-in.
23. The Payment Schedule is one payment only. The payment date is Monday 5th August 2013.
24. If monies have not been received, Campus Accommodation UCC Ltd reserves the right to invalidate the application.
